2.1 Booking Information: When you book our services, we collect your name, partner's name, email address, phone number, backup contact information, event date, start and end times, event location, guest count, rental option preference, and any additional details you provide in your booking inquiry.

2.2 Voice Recordings: Our audio guestbook captures audio messages left by event guests. These recordings are made voluntarily by guests who choose to pick up the phone and leave a message.

2.3 Photos: If you opt for customized artwork, we collect photos you provide for use in creating your final video content.

2.4 Payment Information: Payment details are processed via Interac e-Transfer. We do not store banking information on our servers.

2.5 Website Data: We may collect standard web analytics data including IP addresses, browser type, pages visited, and referring URLs to improve our website experience.

We use the information we collect to:

• Process and confirm your booking inquiries
• Communicate with you about your event and our services
• Coordinate delivery, setup, and pickup of equipment
• Process voice recordings into keepsake audio and video files
• Create customized artwork using your provided photos
• Deliver your final content via Google Drive or website link

4.1 Consent: By renting our audio guestbook, the booking customer is responsible for informing their event guests that a voice recording device is available. Guests who choose to use the phone consent to being recorded by voluntarily picking up and speaking into the handset.

4.2 Intellectual Property: VoiceNotes.to retains full ownership and intellectual property rights to all content created through use of the audio guestbook. VoiceNotes.to shall not sell or assign any audio content recorded during the event. The Client grants VoiceNotes.to the right to use content and setup photographs for promotional purposes.

4.3 Processing: Voice recordings are processed securely on our systems for the purpose of creating your keepsake audio and video content in MP3 and MP4 format.

4.4 Deletion: All voice recordings, video files, and provided photos are permanently deleted from our servers 90 days after final delivery to the customer. Customers are responsible for saving their own copies before this date.

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

• Service Providers: With trusted third-party services that help us operate our business (e.g., email delivery, file hosting), under strict confidentiality agreements
• Promotional Use: Event content and setup photographs may be used for promotional purposes including social media, website, and print marketing as outlined in our Terms & Conditions
• Legal Requirements: When required by law, regulation, or legal process
• Business Transfers: In connection with a merger, acquisition, or sale of assets, with prior notice to affected users

Booking Data: Customer booking information is retained for up to 2 years after the event date for business records and potential repeat bookings.

Audio, Video & Photo Files: Retained for 90 days after final delivery, then permanently deleted.

Rental Agreements: Signed rental agreements are retained for the duration of the business relationship plus 2 years for legal compliance.

Website Analytics: Aggregated, anonymized analytics data may be retained indefinitely.

Under applicable privacy legislation, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information
• Withdraw consent for communications at any time
• Request a copy of your data in a portable format
